Challenge

The Medical Protection Society (MPS) needed a more efficient, economical and productive workplace to support their worldwide operations.

Insight

Our research, time utilisation study and Leesman employee experience audit showed that MPS could optimise their existing space, rather than expand it.

Solution

The open layout and activity-based design allows MPS to work with more purpose and flexibility, improving employees’ productivity and workplace experience.

Wanting to get the most out of their space, we were appointed to re-evaluate their environment and create an efficient and productive place to work.

Understanding work patterns

MPS’ overarching objectives were threefold: they wanted to use their area more efficiently, plan their space more economically, and create an environment that facilitated productivity. 

To do that, we needed to get under the skin of what a day in the life of their lawyers looks like. What sort of jobs do they do? How often are they in the office? And how much privacy do they need? To get a better understanding, we conducted a time utilisation study, ran a Leesman employee experience audit, and, most importantly, spoke to their lawyers first-hand.

Uncovering the truth to create effective solutions

On the back of our research we realised, at any given time, around 40% of MPS’ workspace wasn’t actually being used. The cause? Lines of cellular offices that just weren’t occupied while lawyers were in court, off-site or on holiday.

Not only was their layout wasting space, it was stifling communication, knowledge-sharing and social engagement, too.

Adapting to better ways of working 

One of the main hurdles we had to overcome was getting a large group of people – who were perhaps comfortable and somewhat set in their ways – to understand that change would result in a better way of working. But we did. And no one ever looked back.

We did our job whilst they did theirs

With thousands of clients to serve worldwide, shutting shop for even a day was out of the question. To ensure MPS could continue delivering the high standard of service they’re known for, we implemented our work in two phases, carried out disruptive works out of hours, and maintained clear communication from start to finish.

Exceeding expectations

Before we came on board, MPS thought they’d have to acquire additional space. By learning how the space was used, we were able to ensure the existing floor plate worked harder for their people – saving time, money and unnecessary upheaval. 

Our practical and people-centred solution resulted in an inspirational environment, improved communication, and instigated new and positive ways of working.

The numbers speak for themselves

Before we partnered with MPS, they had 100 employees, and the team thought they needed additional space. 

Now, MPS can comfortably accommodate 200 people whilst adhering to the building’s technical requirements and providing a fantastic user experience.
